What is a PDF?

Adobe PDF files, short for Portable Document Format, are one of the most commonly used file types today. If you've ever downloaded a printable form or document from the Web, such as an tax form, there is a good chance it was a PDF file. Whenever you see a file that ends with .pdf, that means it's a PDF file.

Why use PDF?

Say you create a newsletter in Microsoft Word and share it as a .docx file, which is the default file format for Word documents. Unless everyone has Microsoft Word installed on their computers, there is no guarantee that they would be able to open and view the newsletter. And because Word documents are meant to be edited, there is a chance that some of the formatting and text in your document may be shifted around. By contrast, PDF files are primarily meant for viewing, not editing. One reason they are so popular is that PDFs can preserve document formatting, which makes them more shareable and helps them to look the same on any device. Sharing the newsletter as a PDF file would help ensure everyone is able to view it as you intended.

Opening PDF files:

Opening and viewing a PDF file is pretty simple. Most modern web browsers will open PDF files directly in your browser window instead of downloading them to your computer. If the PDF file is already on your computer, you can simply double click to open it with the default PDF application

There are several programs you can install on your computer that will open a PDF. Adobe Reader and Foxit Reader are the two most popular. Microsoft Edge Browser will also open PDFs.

Save as PDF

1. In Microsoft Word, Apache Open Office or Libre Office there are options to Export your Document as a PDF..

2. If you have a Web Page -- article open or an Email Open you can also save these as a PDF by using PRINT TO PDF function. It does not actually print but saves as a PDF. Just press CTRL P to open the Print Control Dialog Box and change the Printer Name to Microsoft Print to PDF.

The only problem with this method is that you get all the ads on the web page as well as the article.

A better method is to use a Browser attachment called Print Friendly and PDF.

Edit a PDF

PDFs are hard to edit because of the format.
